Configuring Outlook, Thunderbird, Gmail, mobile devices, SPF/DKIM, forwarders, and mailing lists.

Setting up email in Microsoft Outlook

Open Outlook, go to File > Add Account. Enter your email address, choose "Manual setup" and use the following settings: Incoming server (IMAP): mail.yourdomain.com, Port: 993, SSL: Yes. Outgoing server (SMTP): mail.yourdomain.com, Port: 465, SSL: Yes. Username: your full email address. Password: your email account password.

Setting up email on iPhone/iPad devices

Go to Settings > Mail > Accounts > Add Account > Other > Add Mail Account. Enter name, email, password, and description. For the incoming server use IMAP with mail.yourdomain.com on port 993. For the outgoing server use SMTP with mail.yourdomain.com on port 465. Both with SSL enabled.

Setting up email in Gmail (Fetch)

In Gmail go to Settings > See all settings > Accounts and Import > Check mail from other accounts. Add the email address, use POP3 server mail.yourdomain.com on port 995 with SSL. For sending, add SMTP server mail.yourdomain.com on port 465 with SSL.

How to create an email account in cPanel

Sign in to cPanel (yourdomain.com:2083) and in the "Email" section click "Email Accounts". Click the "Create" button in the top right. Choose the domain, enter the desired username (the part before @), enter a strong password, and set the quota (we recommend at least 500MB or "unlimited"). Click "Create" and the email account is ready. Access webmail at yourdomain.com:2096. For client setup use IMAP: mail.yourdomain.com port 993, SMTP: mail.yourdomain.com port 465, both with SSL/TLS.

Setting up email in Thunderbird

Open Mozilla Thunderbird and click Account Settings > Account Actions > Add Mail Account. Enter your name, email address (e.g. info@yourdomain.com) and password. For incoming mail choose IMAP, server: mail.yourdomain.com, port 993, SSL/TLS. For outgoing mail (SMTP) enter server: mail.yourdomain.com, port 465, SSL/TLS. Authentication is Normal Password for both servers. Click Done and Thunderbird will automatically test the connection.

Setting up email on an Android phone

Open the Gmail or Email app on your Android phone and choose Add Account > Other. Enter your full email address (e.g. info@yourdomain.com) and password. Choose IMAP as the account type. For the incoming server enter mail.yourdomain.com, port 993, security SSL/TLS. For the outgoing SMTP server enter mail.yourdomain.com, port 465, security SSL/TLS. The username is your full email address. Save the settings and the email is ready to use.

How to resolve email sending issues

If you cannot send emails, first check that you are using SMTP port 465 with SSL/TLS encryption — port 25 is blocked by most providers. In cPanel at yourdomain.com:2083 check that your domain has correct SPF and DKIM records under Email Deliverability. If the recipient is not getting your messages, ask them to check the Spam/Junk folder. Also check that the email account password has not expired or been changed. If you get "Authentication failed", reset the password in cPanel under Email Accounts.

How to change the password for an email account

Sign in to cPanel at yourdomain.com:2083 with your hosting credentials. Go to the Email section and click Email Accounts. Find the desired email account in the list and click the Manage button next to it. In the New Password field enter a new password or click Generate to have the system create a strong password. Click Update Email Settings to save the change. After the password change, also update the password in all email clients (Outlook, phone, Thunderbird) because they will stop working with the old one.

How to set up an auto-responder in cPanel

Sign in to cPanel and open "Autoresponders" under Email. Click "Add Autoresponder" and choose the email account for which you want an automatic reply. In the "Subject" field enter the message subject, and in "Body" the text the recipient will receive (e.g. "I am currently out of the office"). Optionally set the start and end time of the auto-responder. Click "Create/Modify" to save. The auto-responder will reply automatically to every received message once every 8 hours per sender.

How to set up an email forwarder in cPanel

In cPanel open "Forwarders" under Email. Click "Add Forwarder" to forward messages from one address to another. In the "Address to Forward" field enter the email address on your domain, and in "Destination" the email where you want copies to arrive (e.g. your Gmail address). Click "Add Forwarder" to save. The original account will continue to receive messages, and a copy will arrive at the forwarded address.

How to increase the email account quota in cPanel

Sign in to cPanel and open "Email Accounts" under Email. Find the email account and click "Manage". In "Allocated Storage Space" enter a new value in megabytes or choose "Unlimited". Click "Update Email Settings" to save. Note that the total storage of all email accounts cannot exceed the limit of your hosting package.

How to set up SPF and DKIM records for better email deliverability

In cPanel open "Email Deliverability" under Email. The tool will show the SPF and DKIM status for each domain. If the domain shows "Problems Exist", click "Manage" or "Repair" to fix the records automatically. For SPF, cPanel generates a TXT record allowing your server to send email. For DKIM, it creates a cryptographic signature proving message authenticity. Correct SPF and DKIM records significantly reduce the chance of your emails ending up in spam.

How to set up an email signature in webmail

Sign in to webmail at yourdomain.com:2096. In Roundcube click Settings in the top right, then Identities. Click on your email address and enter the signature text in the Signature field. You can use HTML formatting with a logo, links, and formatted text. Click Save — the signature will be automatically added to every new message.

How to migrate email from another provider

The easiest way is using Thunderbird. Add both email accounts — the old one and the new one (BeoHosting). Select all messages in a folder of the old account (Ctrl+A), right-click > Copy To and pick a folder in the new account. Repeat for each folder (Inbox, Sent, Drafts). The migration may take time depending on the volume of messages.

How to set up a catch-all email address

A catch-all receives all messages sent to non-existent email addresses on your domain. In cPanel open "Default Address" under Email. Choose the domain and enter the email address to receive unrecognized messages. Click "Change". Warning: catch-all attracts a lot of spam. We recommend creating specific email accounts or forwarders instead of catch-all whenever possible.

How to set up a mailing list in cPanel

In cPanel open "Mailing Lists" under Email. Click "Add Mailing List", enter a name (e.g. team@yourdomain.com), set a password, and click Create. In "Manage" add members by entering email addresses. In the settings decide whether all members can post or only the administrator. All members receive messages sent to the list address.
